In this guided-tour, we will be looking at each section of the Karoo Control Panel, i.e. the Account Changes, Email Accounts, Junk Email & Anti-Virus and Email & Web Settings sections, to gain an understanding of the functionality that is available.

Getting Started

It is first necessary to login to the Karoo Control Panel, using the nodename and password for your Karoo account, before you can view and/or change any of the settings. (your nodename is part of your email address, i.e. recipient@nodename.karoo.co.uk)

After successfully entering the nodename and password for your Karoo account into the account settings login page [screenshot] of the Karoo Control Panel, the my account settings page [screenshot] will be displayed. This page provides the main menu, and as such allows you to navigate to any of the four sections. A guided-tour of each of the four sections is shown below:

Account Changes

In the account changes section [screenshot] it is possible to do the following:

  • Change the password for your Karoo account, simply by filling in the 'current', 'new' and 'repeat' password fields, and clicking the 'change password' button. (your password must be at least 8 characters in length and contain both letters and numbers)
  • Reset your security question, by clicking the 'reset my security question' button, choosing 'yes' to confirm your request [screenshot], clicking 'ok' to set your new security question [screenshot], and entering the new details [screenshot].
  • Update your address, simply by clicking the 'update my address details' button, clicking the 'reset form' button if you wish to start from a clean sheet, entering your new address, and finally clicking the 'update address' button [screenshot].
  • View the usage statistics for your Karoo account [screenshot]. The usage statistics are available for previous months, in addition to the current month upto the stated date/time. You can choose the desired units by using the buttons provided.

Note: The password for your Karoo account is used for accessing both the Karoo service itself and your default mailbox.

Email Accounts

In the email accounts section [screenshot] it is possible to do the following:

The above can be done with or without the use of wizards to guide you through the changes. If you wish to use the wizards, simply choose the action that you would like to perform, click the 'next' button, and follow the on-screen instructions. If, on the other hand, you prefer not to use wizards, click the 'advanced' button, and use the email configuration utility [screenshot].

Note: For each Karoo account, there is a limit of five mailboxes and ten aliases. Initially only one mailbox will exist, i.e. the default mailbox, and the wildcard alias will be pointing at it, hence any email delivered to recipient@nodename.karoo.co.uk, where recipient can be anything the user likes and nodename is their nodename, will always arrive in the default mailbox.

Junk Email & Anti-Virus

In the junk email and anti-virus section [screenshot] it is possible to do the following:

  • Set the anti-virus feature to disable or enable alert notifications of infected emails, simply by clicking the 'advanced settings' link for the 'virus scan' service, and selecting the desired 'status' for the 'virus notification' option [screenshot].
  • Configure the SPAM filter feature to suit your needs; i.e. set the filtering-level based on the SPAM scoring system, decide what to do with email identified as SPAM, and allow/block emails from specific email addresses, domains, and hosts, by clicking the 'advanced settings' link for the 'spam filter' service and choosing the desired tab/settings [screenshot].
  • Configure the content filter feature as desired; i.e. decide what to do with emails requiring content filtering, block emails with specific types of attachments, e.g. executable programs, and allow/block emails with certain keywords, or of certain sizes, by clicking the 'advanced settings' link for the 'content filter' service and choosing the desired tab/settings [screenshot].
  • Specify an auto-reply message to all emails, e.g. to say you are on holiday, or to thank the sender for their email, by selecting the desired 'status' for the 'auto-reply' service, entering your message, and clicking 'save' [screenshot].
  • Set the footer feature to disable or enable the addition of a customisable footer to your emails, by selecting the desired 'status' for the 'footer' service, and entering/selecting the appropriate message for your footer [screenshot].
  • Manage your quarantined emails; i.e. browse, delete and/or release quarantined emails. The 'content filter folder' [screenshot] is for the 'content filter' service, and the 'junk email folder' [screenshot] is for the 'spam filter' service.

Note: The junk email and anti-virus settings are used for all mailboxes and aliases associated with your Karoo account. The first time that you visit this section of the Karoo Control Panel, you may find it necessary to activate these services [screenshot].

Email & Web Settings

In the email and web settings section you can simply download a program, which is specific to your OS, to configure your email client and web browser for use with your Karoo account. Upon going to this section, you will either be asked to confirm your OS [screenshot] or to choose your OS from a list [screenshot], depending on whether your OS is automatically detected.

Terminology

If you are not familiar with some of the terminology used in this user-guide, you may find the following explanations useful:

  • Aliases - Aliases and mailboxes are akin to people and letterboxes, as just like mail for more than one person can be posted through the same letterbox, mail for more than one alias, i.e. person, can also be delivered to the same mailbox. The aliases can, of course, be used for other purposes too, e.g. you may have one alias for business use, and another for personal use. So, given that an alias is simply an alternative name for something else, then part of the definition of an alias must include for what it is an alternative name. Therefore, in the context of email, an alias is simply an alternative name for a mailbox.

    Note: The email address of an alias uses its name for the recipient section (alias-name@nodename.karoo.co.uk).
  • Default Mailbox - The default mailbox uses the nodename of the Karoo account for its name, and therefore the recipient section of the email address (nodename@nodename.karoo.co.uk). The default mailbox is always created automatically, and as such it can never be deleted. It is also not included as one of the limited number of mailboxes that you are allowed to create.
  • Mailboxes - A mailbox is very much like a house's letterbox, in that both receive mail (one virtual, the other physical) and have a unique address (one email, the other postal). So, given that a house tends to only have one letterbox, but your Karoo account can have multiple mailboxes, you will need to imagine a house with multiple letterboxes. For example, if you imagine that each person in a house had their own letterbox with their name on it, then the postman (or postwoman!) could post the mail through the right letterbox, based on to whom it is addressed, thus keeping the mail for each person separated, and therefore easier to collect/find. The ease of collecting/finding mail is one reason why multiple mailboxes can be useful, another is that each mailbox has its own username and password, thus making it possible to keep your mail private.

    Note: The email address of a mailbox uses its name for the recipient section (mailbox-name@nodename.karoo.co.uk).
  • Wildcard Alias - The wildcard alias is a special kind of alias that is interpreted to mean any other recipient, and as such there can only be one wildcard alias per Karoo account. Therefore, it simply allows you to choose what mailbox should recieve the mail for unrecognised recipients, i.e. recipients that do not match either an alias or mailbox name for that Karoo account.
